Supporter Privacy Notice
TLG is a national children's charity working in partnership with UK churches to bring hope and a future to struggling children and their families across the UK. We rely on the support and partnership of individuals and churches who share our determination to get alongside struggling children, which is why we want to be fully transparent regarding how we use and store your personal information.
TLG is highly committed to respecting your privacy and ensuring that the personal information you have entrusted to us is processed lawfully and safely. Our privacy document, processes and systems have been updated in accordance with the new GDPR legislation as of May 2018 in order to strengthen your rights to privacy and give you control over the personal information that TLG holds about you.
This Privacy Notice explains what to expect when TLG collects and uses personal information regarding our supporters, volunteers and partner churches. We encourage you to read this notice carefully and if you would like any further clarification, please contact our Data Protection Officer, Ellie McGrath, who will be happy to help. TLG is a charity registered in England and Wales (number 1074113) and our registered office is National Support Centre, Hope Park, Bradford, BD5 8HH.
TLG is registered with the Fundraising Regulator. As members, we fully comply with the key principles embodied in the Code. This includes the following promises:
- We respect the rights, dignities and privacy of our supporters and beneficiaries
- If you tell us that you don’t want us to contact you in a particular way we will not do so
- We take care not to cause unreasonable nuisance or disruption
- We comply with the law including those that apply to data protection
- If you are unhappy with anything we’ve done whilst fundraising, you can contact us to make a complaint

We collect information from you every time you contact TLG. All data is stored on a safe and secure system, as would be reasonably expected, for example when you give a donation, enquire about TLG, attend an event or request some information or a service. We also collect non-personal information when you use our website such as your IP address, downloads or forms completed, through website cookies.
We do not buy or store information from any company or organisation.
TLG would not exist without the partnership of local churches, the generosity of individual givers and the commitment of an army of volunteers throughout the UK who are committed to see children's lives changed! We collect your data to ensure appropriate records are stored about your involvement and support of the work. We want to inspire our individual and church partners with the stories of lives that are being changed throughout the UK and to provide information regarding how people can increase their support.
As a children's charity we obviously take safeguarding extremely seriously and are required to keep records of all those involved in our work as staff, churches or volunteers.
TLG also specifically keeps a record of your communication preferences. We want to make sure you receive information that is appropriate to you and at your discretion.
3a. When a supporter signs up (through whatever means - whether online, over the phone or in writing) to receive further information from TLG, to keep in touch or to make a donation, TLG may keep personal data of our supporters which could include:
- Your name and address
- Your contact information (email address, landline and mobile telephone number)
- Your date of birth (if provided)
- Our contact history with you (where we met you, any contact we have made with you)
- Financial information (if you have given a one-off donation or regular donations to TLG, either currently or in the past)
- Any events that you may have attended as a volunteer or supporter or TLG
This information may be kept and used for the following reasons:
- To keep you updated with our work
- To provide you with any information or services that you may have requested from TLG
- To make sure that you know about events and campaigns that you can be involved in as a TLG supporter
- To contact you for fundraising and/or marketing purposes where you have given us permission to do so
- To ensure our records are accurate regarding any communication we have had with you since you joined our database
- To set up and manage any donations you may give during your time as a TLG supporter
TLG keeps this information in a secure database and will never sell your information to a third party.
3b. Credit, debit or Direct Debit details. When you provide your bank details we hold this in strictest confidence. For one-off donations we will always destroy any banking information once we have processed your donation unless it is for the purpose of a monthly donation. If you have a regular donation set up with TLG, data is used and stored by the finance and supporter development teams.
4a: TLG is required to ensure that your data is stored securely – not only on the systems we use but also in the way that we store and transport paper copies of any data that you have provided us with. All of our staff are required to undertake training to ensure that your data is kept secure at all times. Only staff responsible for using your data have access to the system where it is stored.
4b: External companies. Any companies used by TLG, for example in the productions of mailings or those overseeing IT systems are responsible for data under the GDPR and provide TLG with privacy policies as appropriate.
4c: We do not share your data with any other organisations other than for the purposes for which you have given your consent. eg. For marketing or with a school / church if you are volunteering for TLG.
5a. We store your data on our secure systems for as long as we reasonably need to for legal or business purposes, as set out in our data retention records. For example, if you give a donation to TLG, we will keep records for 7 years to account for tax and accounting purposes.
Where we are not required to keep your data by law, you are able to request that your data is removed from our systems at any time and we are required to ensure that all data is then permanently removed from our systems.
5b. Your right to choose.
TLG is registered with the Mailing Preference Service (MPS) and the Telephone Preference Service (TPS). If you are registered with these services we will keep a record of that on our systems. If you newly register with the MPS we will be updated as such and will store that information on our Supporter Systems.

We encourage you to note your rights as to how TLG handles your data. If you would like to discuss any of the information in this Privacy Policy with TLG, then please contact our Supporter Team on 01274 900377. TLG retain your information based on various lawful bases, depending on your type of support. We are committed to using any money given to TLG as effectively and as efficiently as possible. Therefore, understanding our supporters interests and involvement is vital in ensuring that we are giving the very best service to all of our stakeholders.
When you support or enquire about TLG, we hold your data for the 'legitimate interests' of the organisation in order to develop our relationship with you. We will contact you for marketing purposes where you have given us consent to do so. Whilst we are legally bound to keep your information for purposes such as Gift Aid, we will also keep your information on file whilst you support the work and for a period of time following this as stated in our retention records. However, you have the right to change, alter or delete the information that we store as follows:
6a. Right to be informed. We seek to be clear and specific when we collect information from supporters.
6b. Right to access. You are entitled to request a copy of any of your personal information that we have stored on our systems.
6c. Right to rectification. If any of your personal information that stored on our systems is incorrect, you have the right to have this updated.
6d. Right to be forgotten. If you request for all of your records to be deleted from our systems, we are lawfully required to carry out this request, other than if your data is required for lawful reasons (such as if you have given a donation which we have claimed Gift Aid on).

We will endeavour to respond to your concerns within 72 hours.
